ICS Notice: Project Renewal – Implementation of the School Reorganisation on IT systems: Important Deadlines

Dear Colleagues,

 

ALL staff members are hereby advised of critical deadlines associated with approvals and transactions on the University's systems in order to complete the reconfiguration of the new School structure across the UKZN IT systems. In order to ensure a seamless transition to the new organisational structure, the following deadlines are essential.

1.     Final Date for Approvals (30 June 2025)

Full completion of all approvals for the following systems is required by 30 June 2025:

  • ITS Production System and iEnabler
  • Peripheral Systems (HDMS, RIG, SMS, Forms, Travel Management System, Tuition Remission, Resignation and the Staff self-help systems and any other relevant or related approval workflows)

Please do not initiate any new approvals between 30 June and 14 July 2025 on these systems. 

 

2.     Transaction processing deadline (10h00 on 11 July 2025)

By 10h00 on 11 July 2025, all other transactions (including but not limited to purchases, HR processes, financial transactions, and student administration processes) must be completely finalised. This will enable the ICS systems team to complete the requisite configurations and data migrations for the implementation of the new structure and prepare for the system freeze.

 

3.     System Freeze and Transition (11-13 July 2025)

The IT systems will undergo a freeze period immediately after 10h00 on 11 July 2025 in preparation for GO-LIVE on the 14th of July 2025. Access to certain system functions may be limited, restricted or suspended during this period (11-13 July 2025).

 

4.     GO-LIVE with the new School structure (14 July 2025)

The systems will be back on-line for transaction processing and routing of approvals using the new School codes on 14 July 2025.

 

In order to guarantee the success of this transition, your collaboration is essential. Please plan and organise your work accordingly and communicate with the administrators or support offices of your respective Colleges if you require any assistance.

In a manner of speaking yes. However you will not get the entire notice delivered to you in your email, instead you will get a daily digest which will list the subject of the notices, a short summary of each notice and hyperlinks that will take you to that notice on the web.

2. Who has access to notices?


Anybody can access the notice system, however you will not be able to place notices from off-campus.
